How to use your profit and loss reports
Provestor builds profit and loss reports from your record keeping. You can see how your whole portfolio is doing, then look at each property on its own.
The reports use the transactions you've already recorded. There's nothing extra to set up.
Open the portfolio report
In your business workspace, choose Reports, then Profit & loss.
The portfolio report shows:
- Income, Expenses and Net profit for the period you're looking at
- A chart of net profit for each month or quarter
- A table of every property, with its income, expenses and net figure
The line under the heading tells you how many properties are included and which period the figures cover.
If you own a property with someone else, the reports show the full amounts, not your share. This matches how you record transactions. Your quarterly updates still send only your share to HMRC. See How to record joint ownership income splits.
Choose the period
The button at the top of the report shows the period you're looking at, for example "Tax yr 26/27 • Tax months".
To change it:
- Choose the period button
- Under Period, choose Tax year (starting in April) or Calendar year (starting in January)
- Use the arrows to choose the year
- Under Break down by, choose how to split the chart: calendar months, tax months, calendar quarters or tax quarters
- Choose Apply
Tax months and tax quarters run from the 6th of the month, in line with the tax year. Calendar months and quarters run from the 1st.
Provestor remembers your choice for this business on this device, and uses it for the property reports too.
Read the chart
The chart shows net profit (income minus expenses) for each month or quarter. Teal bars are a profit and red bars are a loss. Hover over a bar to see its income, expenses and net profit.
To focus on one month or quarter, choose its bar. The figures at the top change to show that period only, and the property table updates to match. A label above the chart shows what you're focused on. Choose the × on that label to go back to the whole year.
Bars with a dashed outline are future periods that already have transactions recorded, such as rent you've added in advance.
Compare your properties
The property table lists each property with its income, expenses and net figure, with a total at the bottom. It's sorted by net figure, highest first. Choose any column heading to sort by that column instead.
This is a quick way to spot a property that's costing more than expected, or one with income missing for the period.
Look at a single property
Choose a property in the table to open its own report. It has the same period button, figures and chart as the portfolio report, plus:
- A comparison with the previous period under each figure, for example "▲ £250"
- A list of the property's transactions, grouped by month or quarter, with income and expenses shown separately
The transaction list is read-only. To change a transaction, go back to Record keeping and edit it in the account it came from.
To return to the full portfolio, choose Portfolio at the top of the page.
Tip
Before you send a quarterly update, open the report for that quarter and look down the property table. A property with no income, or an unusually large expense, is worth checking in your record keeping first.
If the report is empty
If you see "No property income or expenses have been recorded for this period yet", there are no transactions in the period you've chosen. Try a different year, or check that your transactions have a property assigned. See How to add rental income and How to capture expenses.
The reports don't have an export or download option at the moment.
