Record Keeping Checklist
Use this checklist each time you sit down to update your records in Provestor. Find the section that matches how you manage banking for your rental properties.
Cash account checklist
Use this if: You don't have a dedicated business bank account. You use a cash account in Provestor to track property income and expenses.
What you'll gather:
- Receipts for property expenses
- Evidence of rent received (bank transfers, tenant records)
- Mortgage payments
- Records of any property-related transactions from your personal accounts
Your checklist:
- Review personal bank account/records for property transactions
- Gather receipts for property expenses
- In Provestor: go to Cash account
- Manually enter rental income
- Manually enter property expenses (or upload receipts with AI extraction)
- Manually enter mortgage payments
If you also work with a letting agent: See Letting agent checklist below for additional steps.
Goal: All property income and expenses recorded in Provestor, correctly categorised and linked to properties.
Detailed guides:
Business bank account checklist
Use this if: You have a dedicated business bank account for your rental properties.
What you'll gather:
- Bank statements (PDF)
- Receipts for any expenses paid outside the business account (if applicable)
Your checklist:
- Download latest bank statement
- In Provestor: go to your Business Bank account
- Upload bank statement (drag-and-drop for AI extraction)
- Review and categorise extracted transactions
- Check account balance in Provestor matches your bank balance
- If you paid property expenses with personal cash/cards: add to Cash account

Goal: Every transaction from your bank statement is in Provestor, correctly categorised, balance matching.

Letting agent checklist
Use this if: You work with a letting agent who collects rent and pays expenses on your behalf.
Important: This checklist is complementary. You'll also need to use either the Cash account checklist or Business bank account checklist for any direct income or expenses you handle yourself.
What you'll gather:
- Letting agent statement (monthly or periodic)
Your checklist:
- Download latest letting agent statement
- In Provestor: go to Letting Agent account
- Upload statement (drag-and-drop for AI extraction)
- Review and categorise extracted rent, fees, and expenses
Important: there's no need to record the net payment paid from the agent to you.
Goal: All rent collected and expenses paid by agent are recorded in Provestor from their statements.
