How to make changes to several transactions at once
If you need to make the same change to lots of transactions, you can do it in one go rather than one at a time. For example, you can confirm a batch of drafts, move several expenses to a different property, or ignore a run of personal payments.
Choose the transactions
In your business workspace, choose Record keeping, then the account.
- On a computer: tick the box next to each transaction. To choose every transaction on the page, tick the box in the column heading.
- On a phone: choose Select, then tap each transaction. Choose Select all to choose everything on the page, and Done when you've finished.
You can change filters or move between pages and keep your selection. This makes it easy to gather transactions from different months. See How to find and filter transactions for ways to narrow the list down.
The bar above the list shows how many transactions you've chosen, and the total paid in and paid out. To start again, choose Clear selection. You can choose up to 500 transactions at a time.
Make the change
Choose Actions, then choose what you want to do:
| Action | What it does |
|---|---|
| Confirm | Confirms draft transactions so they count in your records |
| Mark as draft | Turns confirmed transactions back into drafts |
| Ignore | Excludes the transactions from your tax calculation. See Ignore |
| Stop ignoring | Brings ignored transactions back in |
| Change category… | Gives every chosen transaction the same category |
| Change property… | Assigns every chosen transaction to the same property |
| Delete… | Permanently deletes the transactions |
When the change has worked, a message tells you how many transactions were changed, for example "12 transactions confirmed".
Changing the category
Choose the new category and then Change category. You can only choose categories that fit the money's direction, so choose either paid-in or paid-out transactions, not a mix of both.
Each transaction then uses the new category for its full amount. Any capital, personal use or replacement cost amounts on those transactions are removed, so check any you'd split before.
Deleting transactions
Provestor asks you to confirm before deleting. Deleting can't be undone. If any of the transactions are transfers, the matching transaction in the other account is deleted too.
Warning
If a transaction came from a statement you've uploaded, it's usually better to ignore it than delete it. Ignoring keeps your account balance right. See How to handle transactions that aren't income or expenses.
When an action isn't available
An action only works if it suits every transaction you've chosen. If it doesn't, the action is greyed out and the reason is shown underneath, with how many transactions it affects. For example, it might say that 2 of the transactions are incomplete and need categorising before you can confirm them.
Common reasons include:
- The AI is still categorising the transaction. Wait a moment and try again.
- The transaction has a conflict. Review it on its own first.
- The transaction isn't fully categorised, so it can't be confirmed yet.
- The transaction is split across several categories, so it can't be given one category.
- The transaction is a transfer. Transfers can only be deleted in bulk.
- The transaction is ignored. Stop ignoring it before making other changes.
- The transaction came from your letting agent. Ignore it instead of deleting it.
To carry on with the rest, remove the transactions mentioned from your selection.
Changes are all or nothing. If something has changed since you made your selection, Provestor makes no changes at all and refreshes the list so you can check and try again.
